meshO Manager tip 08: hire cards come home

The eighth in our series of short videos about running an event with meshO Manager. This one is the box of hire cards, how each one comes back, and how to see who still has one at pack-up.

Orienteers in running gear crowded around a folding table under autumn trees, with a laptop and a screen on it and a volunteer standing behind

Every event lends hire cards: to newcomers, visitors, and the regular who left theirs on the kitchen table. They go out one at a time all morning and come back the same way. Mostly. At pack-up somebody counts the box, comes up two short, and nobody can say who had them. meshO Manager keeps track as you go, without a sign-out sheet.

Ten hire cards leave the box for the course, and eight come home. In meshO Manager, Isla Moretti’s hire card is downloaded and the Collect hire item prompt asks for it at the desk; Collected. At pack-up the Hire items list is filtered to Out, leaving the two runners who still have a card.

How it works

  • Enter your hire cards once, in Settings → Hire card registry: type the numbers, or a range like 411001-411050. The pool is shared by every event on the server, and each card can carry an owner, such as the club you borrowed it from.
  • There’s no hand-out step. Record the hire card’s number as the runner’s card, at the registration desk or when you enter them, and meshO Manager knows it’s out and who has it.
  • Downloading the card is what returns it. A Collect hire items prompt comes up so you take the card back from the runner then and there, along with anything else they borrowed, like a compass or a map board.
  • Event data → Hire items lists everything lent, with Out and Returned counts across the top and the time each card came back.
  • At pack-up, filter the list by Status to Out: what hasn’t come back, and who has it. A card still out hasn’t been downloaded, so that runner may still be on course, or gone home with it.

Getting it

It’s in the current version of meshO Manager. The hire items page of the Manager docs covers setting up the pool, compasses and map boards, and the collect prompt.
